The Big Event Structure

Executive Director: The Executive Director manages The Big Event executive teamĀ and acts as the official spokesperson and representative for The Big Event to the university community. Responsibilities include running all Big Event executive teamĀ meetings; training and advising The Big Eventā€™s directors of community relations, campus relations, development, and Marketing; maintaining office hours; preparing an end-of-year evaluation of The Big Event; and managing The Big Event budget.

Community Relations: The main objective of this team is to work with the residents of Lawrence, KS to find an adequate number of sites for volunteers to work at on the day of The Big Event. This includes, but is not limited to visiting homeowner associations, conducting Distribution Days, working with the City of Lawrence, visiting community organizations and so forth.

CampusĀ Relations: The main objective for this team is to work with all aspects of the KU community to ensure the highest number of volunteers possible for the day-of The Big Event. This includes, but is not limited to: Fall/Spring Awareness Week, creation and implementation of a Fall/Spring Pledge Drive, organization visits, tabling, incentive programs for participation, working with faculty and staff organizations and other University entities to ensure that all levels of the KU community are included

Development & Logistics: The main objective of this team is to seek monetary donations from the KU and Lawrence community to ensure that the organization has the financial means necessary to operate. As well as all day-of aspects for The Big Event. This includes, but is not limited to location, non-monetary donations, t-shirts, day-of timeline, speakers, special events, and all other matters pertaining to the flow of the day of service, creating a stratified donation package, purchasing of all supplies for The Big Event, soliciting to local businesses for financial donations.

Marketing:Ā The main objective of this team is to prepare, oversee and manage all Big Event marketing campaigns, including production, design, and execution. They manage Big Event archives including photos, historical documents, etc. Act as liaison with local media including the creation of media releases and answering any press questions.Ā

Internal Development Coordinator: The Internal Development Coordinator is responsible for committee Member recruiting, appreciation, and retention. This includes, but is not limited to coordinating committee communication in the form of emails or how they deem fit, coordinate The Big Event incentive program with The Big Event executive team, record and report office hour attendance, oversee committee member appreciation and member development.

Database Management Coordinator:Ā  The Database management coordinator is responsible for web maintenance, and working with campus and community team with database management which includes but is not limited to job site manager tracking, volunteer database management and tracking, matching process, updating web forms

All leaders are expected to:

  1. Attend and participate in weekly Executive Committee meetings.
  2. Have a 2.3 cumulative GPA at the time of application.Ā  Maintain a 2.3 semester GPA and be enrolled, maintain and complete at least 6 credit hours per semester in order to maintain position on board. At least one credit hour of enrollment is required to maintain membership on Board.Ā Ā 
  3. Attend assigned committee activities.
  4. Meet regularly with an advisor.
  5. Behave in a manner that serves as a model for all other members of The BIG Event.
